To get your labs access and complete the PHYS Safety Requirement
- For Door Access granting, email to and meet the Senior Manager (Laboratories) IN PERSON
- If you are a Staff, reserve your earliest seat of the HSEO - Mandatory Safety Orientation (for Staff) and attend it accordingly
- Complete the PHYS SCF ( PHYS - Safety Clearance Form ) through the following steps:
- Without hesitation, submit the completed and signed PHYS - Safety Clearance Form to the Departmental Safety Officer ASAP
🡆 Part II ( PHYS - Safety Orientation ) ⮞ Contact the Deputy Safety Officer (Research Labs) to appoint a time-slot for it
🡆 Part III ( Lab Briefing ) ⮞ Contact the Technical Officers (Research Labs) of your Research Group to appoint a time-slot for it
🡆 Part IV ( HSEO Safety Training ) ⮞ Contact your PI/ Supervisor to pick the HSEO Safety Training needed, then attend the courses without delay

To ensure you leave no trace after you left both in Safety and Personal belongings, please do the followings
- FILL your Personal Particulars in the HSEO Safety Clearance Forms • For Students: HSEO - Student Safety Clearance at Graduation Form
- Then, contact the Technical Officers (Research Labs) of your Research Group to go through together with you the Safety and Personal Clearance
- Once done, submit the filled HSEO - Safety Clearance Forms to the Departmental Safety Officer ASAP for further processing 🡆 The Departmental Safety Officer will ask your PI/ Supervisor to sign the Form then mail to HSEO

Access Control System

For security and administrative reasons, the Department has implemented the UST Smart Door Access Control System to regulate access to our premises.
In the Research Labs Area, the access to our common area will only be granted to users after attending the Safety Orientation conducted by our Deputy Safety Officer (Research Labs) / Departmental Safety Officer . Additionally, access to individual laboratories will be granted after the Lab Briefing conducted by the Technical Officers (Research Labs) .
RULES of Access to Communal Labs
- Chemical Room 🡆 complete and PASS the Assessment of the HSEO Safety Courses MC07 - CHEMICAL SAFETY I, FOR LABORATORY USER & MC03 - CHEMICAL SAFETY II held by HSEO and get safety briefing by the Mr. Chi Wing NG
- Darkroom 🡆 contact the Mr. Ken LAI
- Cleanroom 🡆 COMPLETE and PASS the Assessment of the HSEO Safety Courses MC07 - CHEMICAL SAFETY I, FOR LABORATORY USER and MC03 - CHEMICAL SAFETY II held by HSEO ; the users should also attend the Safety Training Classes (Part A, B & C) held by NFF , attend the Cleanroom Safety Briefing & On-site Operation Training conducted by the Ms. Ivana WONG . If appropriate, will be approved as a qualified user
- Communal Store 🡆 Please approach your Technical Officers (Research Labs) to get the stocks. In case your Technical Officers (Research Labs) is not available, please approach Ms. Ivana WONG
- Glass Working Facility (Room 4140) 🡆 COMPLETE and PASS the Assessment of the HSEO Safety Courses MC05 - PRESSURE SAFETY , MC07 - CHEMICAL SAFETY I, FOR LABORATORY USER and DC03 "Fire Safety & Fire Fighting Equipments" held by HSEO ; the users should also attend the On-site Training by the Technical Officer in-charge and approved as a qualified user.
The Access to Communal Rooms will only be granted when comply with the following:

- User who would like to use the facilities inside Cleanroom Room 4145, please carefully read " Physics Clean Room Access Guide " and submit the Application Form in advance to the Ms. Ivana WONG for the trainings arrangement. Usually, the Training will be held twice a year after the end of each Semester, and it is recommended for you to be well prepared to complete the relevant safety trainings before you can attend the Departmental Clean Room Trainings.

2. Following are the Access Guides for individual facility which should be implemented as requested. Please carefully read the related Guide and submit your request form to the Technical Officer in-charge for assistance:
I. Physics Cleanroom Access Guide
ACCESS GUIDES - Equipment/Facilities
- Users, whose research project requires frequent usage on the facilities in the Department and in NFF , are strongly recommended to obtain adequate training and get authorization to carry out the job by themselves. However, the Communal Rooms In-Charge can provide service to the users who only require occasional usage of the facilities in the Department, ECE Department, and NFF .
- Users who require the service/assistance should fill out Services Request Form endorsed by their Supervisor and submit it in advance to the Communal Rooms In-Charge The job request will be dealt with on the first-come-first-serve basis and the Communal Rooms In-Charge will try to carry out the required job within one week of the date received. But, DELAY may occur due to the availability of the facilities and the work-load of the Communal Rooms In-Charge . Users who carry out the job by themselves should also submit their request to the Communal Rooms In-Charge One Week in advance.

A. INTRODUCTION TO THE FACILITIES:
There are Departmental facilities for common usage hosted in the Labs 4140, 4145 & 4146 including Glass Working Facilities, Optical Aligner, Spin Coater, Plasma Cleaner, e-Beam Evaporator, Wire Bonder, Laser Cutting Machine and NFF Mask Drawing Software. In general, the relevant Communal Rooms In-Charge will provide assistance in using these facilities within Physics Department. In addition, supports are also provided for using Wire Bonding in ECE and Micro-Fabrication Services in NFF .

C. WHO MAY APPLY AND HOW TO APPLY for ASSISTANCE:
REGISTRATION - Laser Worker
- All the users of Class III or Class IV Laser Systems, prior to working with the Laser Systems, are required to complete and PASS the Assessment of the Safety Training Course MC04 - LASER SAFETY , to have their Eyes Examination and registered as a Laser Worker.
REGISTRATION - Radiation User
- All the users of Powder XRD System in Teaching Lab are required to complete and PASS the Assessment of the Safety Training Course MC02 - RADIATION SAFETY WITH SEALED RADIOACTIVE MATERIALS AND IRRADIATING APPARATUS and registered as a Radiation User.
RULES on ACCESS CONTROL
- (*) A temporary 3 weeks Access will be granted to a PG or MSc student who has attended PHYS - Safety Orientation . The Access will be canceled if he/she does not return a complete PHYS - Safety Clearance Form and has not completed the HSEO Safety Training requested by his/her Supervisor . Only if he/she has completed the required HSEO Safety Training MC07 - CHEMICAL SAFETY I, FOR LABORATORY USER & MC03 - CHEMICAL SAFETY II , and the Lab Safety Briefing from the Technical Officers (Research Labs) then the Access to Chemical Room or Darkroom will be granted to him/her.
- (**) A temporary 3 weeks Access will be granted to a short term staff after attended the PHYS - Safety Orientation . The Access will be canceled if the staff does not return a complete PHYS - Safety Clearance Form and has not completed the HSEO Safety Training requested by his/her Supervisor . The staff will be granted the Access to Chemical Room or Darkroom only if he/she has completed the required HSEO Safety courses MC07 - CHEMICAL SAFETY I, FOR LABORATORY USER & MC03 - CHEMICAL SAFETY II and get safety briefing from the Technical Officers (Research Labs) . He/She may get the exemption from the safety training courses but the Supervisor has to take the whole responsibility in doing so.
- (**) The Access to Cleanroom will be granted to the Qualified User who has attended and passed the relevant safety training courses ( MC07 - CHEMICAL SAFETY I, FOR LABORATORY USER & MC03 - CHEMICAL SAFETY II and Safety Training Classes (Part A,B & C) held by NFF ), get Safety Briefing & On-site Operation Training by the Ms. Ivana WONG and approved to be a Qualified User.
- (**) No Access of Cleanroom shall be granted to a UG student . A UG student has to be accompanied by a qualified user holding full responsibility for using the facilities if it is necessary. The Access to Chemical Room or Darkroom could only be granted to UG student who has attended the "Safety Orientation & Training Class", or who has completed the required HSEO Safety Courses MC07 - CHEMICAL SAFETY I, FOR LABORATORY USER & MC03 - CHEMICAL SAFETY II held by HSEO . A UG student has to be accompanied by a qualified user holding full responsibility for using the Chemical Room or Darkroom after Office Hours.
- All the Users of Class III or Class IV Laser System are required to take HSEO Safety course
MC04 - LASER SAFETY
, to apply the registration of Laser Worker, and to have their Eyes Examination. Depend on the degree of severity, Violation of the rules may get a warning or forfeit the right of access and usage

RULES - Working in Communal Labs
Communal facilities and equipment are housed in the Communal Laboratories/Rooms . These spaces and resources are shared among our community. They are managed by the assigned Communal Rooms In-Charge .
Trained & Authorized Users have to abide strictly by the following rules when working in the Communal Laboratories/Rooms to ensure our working spaces neat and safe.

The Communal Clean room allows researchers and students to perform sample preparation and experiments that requires a dust proof and clean environment
